The visual guide

Negative feedback does not always call for the same response

  • Feedback to address

Prepare a useful response and a path to resolution.

  • Possible rule violation

Document the facts and use the platform's reporting process.

  • Legal issue

Preserve the evidence and refer to the appropriate adviser.

Disagreement is not enough to justify removal. The platform retains the decision.

Reviews and responses are visible when a prospect compares several businesses. Google says reviews, ratings and the way a business responds can help users form an opinion. The platform also allows businesses to request a review using a link or QR code, provided the experience is real and no incentive is offered.

A negative review is not automatically abusive. Google states that disagreeing with its content is not enough to justify removal. The right response therefore distinguishes three situations: legitimate customer feedback to answer, content that appears to violate a rule and can be reported, or a legal issue requiring qualified advice.

Our approach combines monitoring relevant channels, a response approval process, neutral requests to real customers and report follow-up. Where search results need work, we improve content controlled by the business without promising the disappearance or displacement of a third-party result.

Our method

6 pillars of controlled online reputation

📡

Monitoring adapted to useful channels

Google, sector platforms, social networks and press are selected according to the business. Critical alerts and their frequency are defined during scoping, avoiding a promise of universal coverage.

💬

Controlled responses

Templates by situation, a tone adapted to the brand and approval before publication. For regulated professions or sensitive topics, responses avoid personal data and remain subject to the responsible professional's approval.

📈

Automated review strategy

An official link or QR code integrated at appropriate touchpoints. Requests are made neutrally to real customers, without filtering recipients by satisfaction or offering an incentive in return.

⚖️

Reporting abusive reviews

Preparation of a factual file when content appears to violate platform rules, followed by status monitoring and any appeal. The platform decides on removal and publishes no guaranteed timeframe.

🎯

Controlled brand presence

Updating the website, official profiles and legitimate content controlled by the business. These actions strengthen the clarity of the entity without guaranteeing a content ranking or attempting to manufacture recognition.

📊

Monthly sentiment reporting

Changes in ratings, review volume, response time, mentions to address and decisions taken. Any automatic sentiment analysis is presented as a sorting aid, then checked by a person.

Sectors where it is vital

The importance of online reputation by sector

HVAC, heating specialists, electricians

Reviews, completed work and clear information can help prospects compare technical providers. At Atmos Technics, the delivered website presents services, published certifications, completed projects and a structured quote journey. All review collection must remain neutral, target real customers and follow platform rules.

Property & PEB experts

Reviews, local information and evidence of assignments can help users compare. Keuleers and PEBify references are presented in their respective case studies, with only elements that can be publicly verified or documented by the client.

Legal & accounting practices

Neutral requests after assignments, an approved response process and monitoring of relevant publications. Confidentiality, professional secrecy and ethical rules take precedence over any reputation mechanism.

Healthcare professionals

Communication must remain objective, relevant, verifiable, discreet and clear. A public response must never confirm that someone is a patient or disclose health data. The practitioner retains final approval.

FAQ

Your questions about online reputation

Can a negative Google review be removed?▾

A review can be reported if it appears to violate Google's rules, for example through artificial engagement, conflicts of interest, offensive content or personal information. Only content that violates these rules can be removed by Google. A commercial disagreement is not enough, and no timeframe or outcome can be guaranteed.

How can we encourage reviews without seeming pushy?▾

Google allows an official link or QR code to be shared, notably on a receipt or in a thank-you message. The request must remain neutral, concern a real experience and offer no payment, gift or discount in exchange for a review.

How much does online reputation monitoring cost?▾

Initial setup (audit + monitoring tools + response templates + review system): €1,200 to €3,500. Monthly support (monitoring + responses + reporting + reporting violations): from €290/month. Critical cases (crisis management): tailored quote.

Can AI detect fraudulent reviews?▾

It can help group themes or spot an unusual change, but it proves neither fraud, identity nor intent. We do not have access to Google reviewers' IP addresses. A report must rely on observable facts and a specific platform rule.
