Google recommends helpful, positive responses and notes that honest reviews, both positive and negative, can help users decide. Responding can provide context or a path to resolution, but no universal percentage predicts its commercial effect.

For a technical tradesperson, an expert consultancy or a healthcare professional, precision matters particularly. An improvised response can unnecessarily confirm a customer relationship, reveal confidential information or fuel a conflict.

R1

Recognise

Open by restating the criticism factually. Acknowledge the customer's discomfort. No defensiveness or minimisation. Example: “Hello Ms X, we understand your frustration regarding the service visit on 12 March.”

R2

Respond

Provide factual context without contradicting or accusing. Detail the actions already taken. If an error is confirmed, take full responsibility. Example: “The service delay was extended because our supplier was out of stock, which should not have had this impact on you.”

R3

Resolve

Offer a concrete resolution off-platform through a controlled channel. Example: “We suggest continuing this discussion privately so we can check the facts and look for an appropriate solution.”

The method structures the response. It guarantees neither a changed rating, review removal nor commercial improvement.

Reportable review situations

When to document a possible rule violation

Disguised competitor

A conflict of interest may violate Google's rules. However, a new profile or one without a photo is not proof. The file must be limited to observable facts and cannot include an IP address to which the business normally has no access.

Unidentifiable experience

The absence of a CRM match does not prove on its own that an experience did not occur. We check available channels, invite the author to provide details privately and report only when a concrete element relates to a content rule.

Potentially unlawful allegation

A serious factual accusation requires evidence preservation and case-by-case analysis. The GDPR is not a universal procedure for deleting reviews. If the issue is legal, the decision belongs to a lawyer or the appropriate adviser.

Insults / inappropriate content

Google's rules notably cover harassment, threats, incitement to hatred, personal information and certain offensive content. Reporting initiates a review, but removal is neither automatic nor subject to a guaranteed public timeframe.

Important: Google prohibits paid reviews, incentives to change or remove a negative review, selective requests for positive reviews and contributions based on a conflict of interest. Factual responses and reports based on a specific rule are the routes provided by the platform.

Should you always respond to negative reviews?▾

Not automatically. The response must be useful, respect confidentiality and avoid inflaming a sensitive situation. In most cases, a short response acknowledging the feedback and offering a private discussion is preferable. Legal or regulated cases go through the responsible professional first.

How long does it take to remove an abusive review?▾

Google publishes no universal timeframe. The status may remain pending, conclude that no violation occurred or allow a one-off appeal. Kanexio guarantees neither review time nor removal, as the decision belongs to the platform.

Keep screenshots, URLs, dates and received messages, then use official reporting and appeal tools. Review-related extortion has a specific Google process. Any legal classification, complaint or erasure request must be assessed by the appropriate adviser.
